Under the direction of the HIM Supervisor or Manager of Document Management and Vital Records, the HIM lead position is responsible for assisting leadership in managing and completing day-to-day activities within the HIM department. The HIM Team Lead is responsible for ensuring the confidentiality, integrity, accuracy, daily maintenance, and storage of all data, both electronic and hard copy formats, consistent with administrative, ethical, legal, and regulatory requirements. Oversees activities related to documentation storage, imaging, and registration of births and deaths with the Arizona Department of Health Services and the integrity of the legal health record. The HIM Team Lead provides highly skilled support and training to staff while ensuring compliance with medical record documentation requirements and correcting all potential document inaccuracies and duplicate patient medical record numbers. Delivers information that can be used to make informed business decisions, ensuring the provided information is accurate, relevant, and error-free. This position is essential to the process improvement cycle, identifying areas of opportunity and assisting with the planning, implementation, and coordination of quality improvement projects and cost-saving initiatives. Ensures compliance with all Federal and State regulations and HIPAA privacy and security regulations, as evidenced by appropriate handling of Protected Health Information (PHI), promoting confidentiality, and using discretion when handling patient information. Individuals in this role will be expected to be able to distribute work and provide guidance across multiple teams to ensure that work is performed on time and to organizational standards. They may be required to perform the responsibilities of more junior team members to meet these expectations as needed.

Hourly Salary Range: $19.73 - $29.10

Qualifications
Education:
  • Requires an associate degree in Health Information Technology or a related field or must be able to obtain within twenty-four (24) months of hire into the position. 
  • Working towards or completion of a bachelor’s degree program is preferred.
Experience:
  • Must have a minimum of four (4) years of progressively responsible experience in Health Information Management that demonstrates a strong understanding of the required knowledge, skills, and abilities. 
  • Prior experience in a lead position is preferred. 
  • Electronic Health Record experience is required. 
Specialized Training:
  • Must successfully complete Valleywise Health-provided training related to HIPAA and state and Federal regulations as it pertains to health records.  
  • Epic/ChartMaxx system training is preferred.
Certification/Licensure:
  • Must possess a certification as a RHIA/RHIT or be able to obtain one within twenty-four (24) months of hire into the position. 
  • Certification as a CRCR (Certified Revenue Cycle Representative) is preferred.
Knowledge, Skills, and Abilities:
  • Must be able to perform all functions required of the HIM Document Imaging Specialist, HIM Document Imaging QA Specialist, HIM Data Integrity Specialist I, and HIM Data Integrity Specialist II positions.
  • Must have knowledge of the health information management principles, state and federal laws, regulatory bodies, and techniques as it pertains to the management of the integrity of the legal health record. 
  • Must be able to demonstrate knowledge of HIPAA privacy and security regulations as evidenced by appropriate handling of protected health information (PHI), promoting confidentiality, and using discretion when handling patient information.
  • Must be able to follow all Federal and State regulations and all Valleywise Health policies, procedures, and Corporate Compliance Plans.
  • Requires strong knowledge of document imaging and vital records processes, HIPAA privacy and security regulations, and DNV/JCAHO or other certifying standards.
  • Strong leadership and interpersonal skills. Requires an ability to initiate action, creatively solve problems, meet goals, and produce results through effective leadership of employees. 
  • Must have the ability to collaborate and assist in the coordination of the work of lower-level staff in a manner conducive to full performance and high morale. 
  • Must demonstrate working knowledge of all HIM database systems, Electronic Health Record (EHR), and Electronic Document Management (EDM) systems. 
  • Must demonstrate the ability to learn within a short period.
  • Must be able to demonstrate the ability to handle multiple priorities and deadlines with independent judgment.
  • Excellent research and analytical skills are required.
  • Must be able to maintain the highest level of confidentiality.
  • Must be proficient in Microsoft Office software (i.e., Word, Excel, and Outlook).
  • Must have the ability to categorize data both in an electronic and hard copy format.
  • Must possess good interpersonal communication and strong customer service skills both verbally and in writing, including knowledge of basic grammar, spelling, and punctuation.
  • Must be able to work with others to fully understand the scope of data integrity capabilities within the EHR and bolt-on systems. 
  • Requires the ability to work independently or as part of a team.
  • Requires excellent organizational and team-building skills.
  • Must be able to communicate effectively as well as have effective problem-solving skills with the ability to work well with physicians, employees, and other hospital staff with tact and diplomacy. 
  • Must exhibit a high degree of professionalism, customer service, and enthusiasm. 
  • Strong attention to detail is required.
  • Must be able to influence and adjust positively to change and follow through on all assignments.
  • Must be self-motivated and able to plan work activities and set effective priorities that are aligned with departmental and Valleywise Health operational and fiscal goals.
  • Requires the ability to read, write, and communicate effectively in English.
